Saved reports

Touchpoint Statistics enables users to create saved reports that the system automatically creates and distributes by e-mail based on a custom schedule or on-demand from within the system. A user can have an unlimited number of saved reports that is stored in the saved report archive.

In addition to be able to edit existing saved reports the reports in the archive can also be used as templates for new ones which eases the task of setting up a automatic report distributions for larger organizations.

Create a new saved report

To create a new saved report a Statistics Extended first report need to be created and then saved. This is done by following the steps described in the guide Create reports in Statistics Extended

Edit existing saved reports in the archive

To access the saved report archive select Saved reports in the menu. There is two available view of the archive content, one is per saved report and the other is per schedule since a single saved report can have multiple schedules defined.

If a saved report is enabled it will be sent automatically at the defined schedule(s). If it is disabled it will not be sent but can be executed and loaded in the user interface manually on-demand. There is also a filter text box that can be used to locate a specific saved report easily even if the archive contains a large number of reports. Users with the administrator role can choose to view saved reports created by any users by checking the check box View saved reports for all users.

To edit, execute or use an existing report as a temple click on the name of the report to open it.

Handle an existing saved report

By clicking on the name of the saved report in the archive a edit page will be loaded where users can make changes or executing it.

The page contains multiple tabs where different parts of the saved report can be changed.

Schedule and receivers

Enables the user to set whether the report is enabled (sent automatically by the system) and change the name and receivers (e-mail addresses) that the report should be sent to. Users can add additional or change existing schedules.
Each defined schedule can be edited, executed, sent or deleted. By clicking on the Execute link on a schedule the report will create and load the report in the user interface based on that schedules properties. Its also possible to send or resend the report for a specific date by clicking on the Send link.
Each time a saved report is created and sent by the system the content (ex: an Excel file) is archived and can be accessed and downloaded later. To view historic distributions click in the Download historic schedules link.

Kolumner
Under fliken kolumner kan man ändra vilka kolumner som man vill att rapporten ska innehålla när den skapas.

Mätobjekt
Under fliken mätobjekt kan man ändra vilka mätobjekt (nummer) som rapporten ska innehålla när den skapas.

Inställningar
Under fliken inställningar ges ytterligare val för vad rapporten ska innehålla t.ex. vilka veckodagar eller tid på dygnet den ska innehålla. Administratörer kan även byta ägare på den sparade rapporten mellan användare.

Övrigt
Under fliken övrigt finns övrig information och ytterligare avancerade inställningar t.ex. vilket språk rapporten ska skapas i. (Som standard används alltid användarens språk vid skapandet av rapporten).

Använd en befintlig sparad rapport som mall 

Ett vanligt scenario när man jobbar med sparade rapporter är att samma typ av rapport ska skickas till olika personer med samma inställningar men med olika innehåll. Touchpoint Statistics låter användare enkelt använda en befintlig sparad rapport som utgångspunkt för nya. Det enda man behöver göra är att öppna en sparad rapport och göra önskade ändringar, t.ex. byta namn, mottagare och mätobjekt. Men innan man sparar ändringarna klickar man i checkboxen Spara som en ny sparad rapport. Detta skapar en ny sparad rapport baserad på utgångsrapporten fast med gjorda ändringar. Originalrapporten ändras inte i detta läge.
